Website Privacy Notice

Who we are

Highland Data Technology Ltd is responsible for the personal information described here. Registered in England and Wales, company number 16880655. Registered office: 128 City Road, London, United Kingdom, EC1V 2NX. Operational location: Glasgow, Scotland. Contact us at info@highlanddatatech.scot or +44 141 461 2348.

Enquiries and calls

When you email or telephone us, we receive your contact details and the information you choose to provide, including your organisation, enquiry and attachments. We use this to respond, assess your requirements, arrange follow-up and keep relevant correspondence. General enquiries mailbox access is currently restricted to Jody John Turnbull. We use Microsoft 365 and Microsoft Teams Phone, provided by Microsoft.

We do not automatically record live calls. Jody manually initiates recording to document technical requirements, decisions or agreements. He explains the purpose and asks permission before recording; recording does not begin if permission is refused. Whenever HDT records a client conversation, the client is offered a copy. Copies must be transferred securely, protecting confidentiality and third-party information.

Unanswered calls go automatically to voicemail. The standard greeting invites callers to leave a message after the tone; callers choose whether to do so. Voicemail is stored through our Microsoft communications environment. Recordings and voicemail may contain your voice and information shared during the communication. Please do not send passwords, credentials or unnecessary sensitive information; contact us first where a secure sharing method is needed.

Website information and cookies

Wix hosts this website. Its services process technical and usage information to deliver and secure the site and can provide analytics. Essential technologies support site operation and security. Our cookie banner is configured to request consent before optional technologies are allowed. Optional analytics is intended to operate only if you choose to allow it. The configured banner offers acceptance and rejection choices and a privacy settings control on all pages.

Cookie durations

Wix uses cookies to operate and secure this website. Cookie lifetimes vary: some last for a browser session and others remain longer. See Wix’s published cookie information for details. You can manage optional cookie choices through Privacy Settings.

Why we process information

The legitimate interests identified for our proposed lawful basis are responding to genuine business enquiries, returning voicemail messages, maintaining business relationships and operating a secure website. Reliance on this basis is subject to a documented assessment of necessity and the effect on individuals’ rights. We limit information to what is relevant for these purposes. Where necessary to take steps you request before entering a contract with you, or perform that contract, we rely on contractual necessity.

Our proposed basis for recording is legitimate interests, only where an assessment establishes that an accurate audio record of technical requirements, decisions or agreements is necessary and proportionate. Less intrusive alternatives include agreed notes or confirmation emails. Client-copy sharing requires a separate assessment of other people’s confidentiality and rights. These assessments are not represented as completed by this draft. Optional analytics requires consent.

Providers and international processing

Microsoft and Wix process information to supply their services, using relevant affiliates and service providers. Wix states that website visitor information is initially processed by Wix.com Ltd in Israel, which is covered by UK adequacy regulations. Its Data Processing Addendum provides for onward transfers using applicable adequacy decisions or approved contractual or other safeguards; not every onward destination is an adequate country.

Microsoft’s published business-service terms describe processing on customers’ instructions and international-transfer safeguards, including contractual protections where applicable. The applicability of those terms to HDT’s subscription and the safeguards for its actual processing remain to be confirmed. These services can involve processing outside the UK; this notice does not promise UK-only storage. Provider terms and further information are available at https://www.wix.com/about/privacy-dpa-users and https://aka.ms/dpa. Contact us for information about the safeguards applicable to your information or how to obtain a copy.

Retention

Our approved retention objectives are 12 months after the last meaningful contact for ordinary email enquiries, and 90 days for call recordings and voicemail. HDT-controlled recordings and copies are subject to that 90-day policy and documented exceptions. Client-held copies are outside HDT’s direct retention control. Client or contractual records may need different periods, and documented legal-preservation exceptions may apply.

Your rights

Depending on the processing and legal conditions, you may request access, correction, erasure, restriction or portability. You may object to processing based on legitimate interests. Where we rely on consent, you may withdraw it without affecting earlier lawful processing. Contact info@highlanddatatech.scot. You may complain to the Information Commissioner’s Office: https://ico.org.uk/make-a-complaint/.
